Victory Musical Instruments Refund and Return Policy

Victory Musical Instruments operates as both a musical instrument brand owner and an online music retailer. We sell products under our own brands, including Victory Musical Instruments, Growling Sax, StreamPath, and Caiman Music Co., as well as products from third-party manufacturers, distributors, suppliers, and brand partners.

Because many of the products we sell are musical instruments, professional audio products, special-order items, supplier-fulfilled items, imported products, high-value equipment, or products that require careful inspection and handling, our return policy is designed to be fair to customers while also protecting the condition, value, and availability of our inventory.

We encourage customers to contact us before purchasing if they are unsure about an instrument, model, finish, color, accessory, compatibility, or product choice. We are happy to help customers choose the right item before placing an order.

1. Return Authorization Required

All returns require prior authorization from Victory Musical Instruments.

Please contact us before sending or bringing back any item. Returns sent without prior authorization may be refused.

To request a return, please contact us with your order number, the item you wish to return, and the reason for the request.

Return requests are reviewed based on the item type, brand, condition, fulfillment method, delivery date, original order details, and reason for the return.

2. Standard Return Window

Eligible unopened items may be considered for a refund, exchange, or store credit within 7 days of delivery, provided the item is unused, unopened when applicable, complete, and returned with all original packaging, accessories, manuals, documentation, and protective materials.

From day 8 through day 14 after delivery, eligible items may be considered for exchange or store credit only. Cash refunds are not available after 7 days unless required by law or approved by Victory Musical Instruments in writing.

After 14 days from delivery, all sales are final. No returns, exchanges, or store credit will be accepted after this period unless the item is covered by an applicable warranty or Victory Musical Instruments approves an exception in writing.

3. Buyer’s Remorse and Customer Preference

Victory Musical Instruments does not guarantee cash refunds for buyer’s remorse, customer preference, incorrect product choice, wrong color selection, duplicate purchase, change of plans, travel changes, financial changes, or similar reasons.

When reasonable, Victory Musical Instruments may offer an exchange or store credit within the eligible return period, provided the item is eligible, unused, complete, approved for return, and returned in acceptable condition.

Cash refunds are generally limited to defective items, verified order errors by Victory Musical Instruments, or specific cases approved by Victory Musical Instruments in writing.

4. Victory-Owned Brands

Victory Musical Instruments may have additional flexibility when assisting customers with products from our own brands, including Victory Musical Instruments, Growling Sax, StreamPath, and Caiman Music Co.

Depending on the situation, we may be able to assist with inspection, adjustment, repair, replacement parts, exchange, store credit, or warranty support.

This additional flexibility does not guarantee a cash refund for buyer’s remorse, customer preference, incorrect product choice, wrong color selection, duplicate purchase, change of plans, travel changes, financial changes, or similar reasons.

5. Third-Party Brands

Victory Musical Instruments also sells products from third-party manufacturers, distributors, suppliers, and brand partners.

Return, exchange, warranty, repair, replacement, and service options for third-party brand products may depend on the applicable manufacturer, distributor, supplier, or brand partner policies.

Victory Musical Instruments will assist customers when reasonable, but we cannot guarantee return, exchange, warranty, repair, or replacement options beyond what the manufacturer, distributor, supplier, or brand partner allows.

6. Supplier-Fulfilled, Special-Order, and Customer-Requested Items

Some products are stocked by Victory Musical Instruments, while other products may be ordered from or fulfilled by a manufacturer, distributor, supplier, factory, or brand partner after the customer places an order.

Customer-requested items may include special orders, supplier-ordered items, supplier-fulfilled items, drop-shipped items, backordered items, imported items, limited-availability items, large-quantity orders, custom orders, pre-orders, and any item ordered, reserved, processed, or fulfilled specifically to complete a customer’s purchase.

Once a customer-requested item has been ordered, reserved, processed, prepared for shipment, drop-shipped, imported, or fulfilled by a manufacturer, distributor, supplier, factory, or brand partner, the order may not be cancelable or returnable for buyer’s remorse, customer preference, wrong color selection, incorrect product choice, duplicate purchase, change of plans, travel changes, or financial changes.

This may apply even if the item is unopened, because Victory Musical Instruments may not be able to return the item to the manufacturer, distributor, supplier, factory, or brand partner.

If Victory Musical Instruments approves a return for a customer-requested item, the return may be limited to exchange or store credit and may be subject to a restocking fee of up to 15%.

7. Same-Day Local Delivery and Locally Stocked Items

Some products may be available for same-day local delivery or local pickup because they are stocked by Victory Musical Instruments.

Because these items are normally part of our local inventory, they may have more flexible return or exchange options than special-order, supplier-fulfilled, or customer-requested items.

Eligible same-day local delivery or locally stocked items may be considered for return, exchange, or store credit within the applicable return period, provided the item is returned complete, with all original packaging, accessories, manuals, documentation, and protective materials.

Opened items may be inspected and, if approved, may be subject to a restocking fee of up to 15% or may be treated as open-box or demo merchandise depending on condition.

This flexibility does not apply to hygiene-related items, final-sale items, special-order items, supplier-fulfilled items, drop-shipped items, customer-requested items, or manufacturer-fulfilled items.

8. Condition of Returned Items

Returned items are inspected before any refund, exchange, or store credit is issued.

Items must be received in new, resale-ready condition. The item must include all original packaging, accessories, manuals, documentation, protective materials, cases, mouthpieces, ligatures, caps, cables, power supplies, adapters, and any other included components.

If an item has been opened, played, handled, damaged, altered, registered, exposed to smoke, moisture, odors, or returned with missing packaging, missing accessories, missing documentation, or signs of use, the return may be reduced, refused, or subject to a restocking fee.

Victory Musical Instruments reserves the right to refuse any return that is not received in acceptable condition.

9. Opened Instruments and Opened High-Value Products

Opened instruments and opened high-value products are not automatically eligible for return.

Once an instrument or high-value product has been opened, played, tested, assembled, handled, registered, or removed from its protective packaging, it may no longer be sold as new without inspection, cleaning, adjustment, testing, repackaging, or resale disclosure.

For this reason, opened instruments and opened high-value products may be eligible for exchange or store credit only, subject to inspection and approval by Victory Musical Instruments.

If approved, opened instruments and opened high-value products may be subject to a restocking fee of up to 15%.

10. Restocking Fee

Approved returns may be subject to a restocking fee of up to 15%.

This fee may apply when an item has been opened, handled, inspected, tested, repackaged, specially ordered, supplier ordered, supplier fulfilled, drop-shipped, customer requested, or returned in a condition that affects its resale value.

Items that are used, damaged, missing accessories, missing packaging, missing documentation, or not in acceptable resale condition may be refused or may receive a reduced refund, exchange value, or store credit.

The restocking fee helps cover inspection, testing, cleaning, repackaging, administrative handling, supplier costs, and loss of resale value.

11. Non-Refundable Costs

Shipping, delivery, handling, installation, financing-related costs, payment-processing-related costs, export-related costs, customs duties, brokerage fees, import fees, and other transaction-related charges are non-refundable unless the return is due to a verified error by Victory Musical Instruments or a confirmed product defect.

Customers are responsible for return shipping costs unless the return is due to a verified error by Victory Musical Instruments or a confirmed product defect.

If an order originally qualified for free shipping and is later returned, Victory Musical Instruments may deduct the original shipping cost from any approved refund, exchange value, or store credit when allowed by law.

12. Final Sale and Non-Returnable Items

For safety, hygiene, product integrity, or supplier restriction reasons, the following items are final sale unless defective:

Reeds
Oils
Greases
Cleaning kits
Mouthpieces
Opened headphones
Opened earphones
In-ear monitors
Microphones
Wind instrument accessories used near the mouth
Personal-use accessories
Clearance items
Final-sale items
Custom-order items
Special-order items after processing has begun
Supplier-fulfilled items after processing has begun
Drop-shipped items after processing has begun
Items sold as used, demo, open box, or discounted due to condition unless otherwise stated in writing

13. Large Orders and Institutional Orders

Large orders, institutional orders, school orders, dealer orders, quantity purchases, and high-value orders may be subject to additional review before processing.

Because these orders may require Victory Musical Instruments to reserve inventory, order products from suppliers, arrange freight, coordinate manufacturer fulfillment, or commit to non-returnable supplier purchases, these orders may be final sale once processing begins unless otherwise agreed in writing.

Any cancellation, return, exchange, or store credit request for a large order must be approved by Victory Musical Instruments in writing.

14. Export, International, and Tax-Exempt Sales

International, export, tax-exempt, and hand-carry export sales may require additional documentation.

Returns on export or tax-exempt sales must be approved by Victory Musical Instruments before the item is brought back, shipped back, or returned.

Any customs duties, import fees, export documentation costs, brokerage fees, shipping fees, tax adjustments, or government-related charges are the responsibility of the customer unless otherwise required by law.

If a sale was processed as tax-exempt or for export, the customer may be required to provide documentation necessary for Victory Musical Instruments to keep accurate accounting and tax records.

15. Product-Specific Return Notices

Some products may have product-specific return limitations based on brand, supplier, fulfillment method, product type, availability, hygiene considerations, value, or whether the item is ordered specifically for the customer.

When a product has special return conditions, Victory Musical Instruments may display a notice on the product page, cart, checkout, invoice, order confirmation, or other customer communication before or during the order process.

These notices may include terms such as supplier-fulfilled item, special-order item, high-value item, same-day local delivery item, final-sale item, or similar language.

Customers are responsible for reviewing product-specific notices and the Refund and Return Policy before completing a purchase.

16. Defective Items and Order Errors

If an item arrives defective or if Victory Musical Instruments shipped the wrong item, please contact us as soon as possible.

We may request photos, video, serial numbers, packaging photos, or other information to evaluate the issue.

Depending on the situation, Victory Musical Instruments may provide repair, replacement, exchange, store credit, or refund. The available remedy may depend on the product, manufacturer warranty, item condition, timing, supplier policy, and availability.

This policy does not limit any manufacturer warranty that may apply.

17. Warranty Claims

Warranty coverage varies by brand, product type, manufacturer, distributor, supplier, and item condition.

Warranty claims are handled according to the applicable manufacturer warranty, distributor policy, supplier policy, or Victory Musical Instruments warranty terms.

Warranty coverage does not automatically create a right to return an item for a cash refund. Warranty remedies may include repair, replacement parts, service, replacement, exchange, store credit, or other remedies depending on the product and warranty terms.

Damage caused by misuse, neglect, accident, improper care, moisture, exposure to extreme temperatures, unauthorized repair, modification, or normal wear and tear may not be covered by warranty.

18. Refund Processing

Approved refunds are processed after the returned item has been received, inspected, and approved.

Refunds are generally processed within 5 to 7 business days after inspection and approval. The time it takes for funds to appear in the customer’s account may vary depending on the payment provider, bank, financing provider, or credit card issuer.

Refunds are issued to the original payment method unless Victory Musical Instruments approves another method in writing.

19. Exchanges and Store Credit

Approved exchanges and store credits may be issued after the returned item has been received, inspected, and approved.

Store credit may be used toward eligible products sold by Victory Musical Instruments.

Store credit has no cash value and may not be transferred, sold, or redeemed for cash unless required by law.

20. Abuse of Return Policy

Victory Musical Instruments reserves the right to refuse returns, exchanges, store credit, or future transactions in cases of suspected return abuse, repeated buyer’s remorse returns, misrepresentation of item condition, missing items, damaged returns, chargeback abuse, or activity that appears inconsistent with normal customer use.

21. Policy Updates

Victory Musical Instruments may update this policy from time to time to reflect changes in our business, product categories, suppliers, fulfillment model, or applicable law.

The policy in effect at the time of purchase will generally apply to that order unless otherwise required by law or agreed to by Victory Musical Instruments in writing.
